After two reschedules and a year of planning, our clients were finally approaching their long-awaited celebration. Their wedding weekend in Sarasota, Florida, was meant to take place entirely outdoors at two remarkable venues — The Ritz-Carlton Sarasota and The Ringling Museum.
Then came Hurricane Ian.
The storm made landfall as a Category 4, bringing devastation to Florida’s west coast just forty-eight hours before the first event was set to begin. Within hours, our timeline, design plans, and venue infrastructure were rendered uncertain. Flights were grounded, airports closed, and every major generator between Atlanta and Miami was rerouted for emergency use.
It was clear that even our backup plans would not survive the storm’s impact.
As planners, we are accustomed to anticipating the unexpected, but this was an entirely different scale of unknown. Once the governor issued a state of emergency, our team shifted from creative offense to strategic defense.
We established a clear communication system for guests and vendors, sending updates as the storm moved through the Gulf. Guests adjusted flights, some arriving earlier than planned, while others were delayed indefinitely. Vendors began working through the night, preparing to drive in from out of state with limited fuel and unpredictable road conditions.
During those tense days, we focused on what could be controlled — maintaining safety, logistics, and morale. When the path of the hurricane became certain, we made the decision to relocate the wedding entirely.
Every major wedding involves hundreds of moving parts. Power alone can determine whether an event is possible. Our original design relied heavily on large-scale generators to sustain lighting, entertainment, and catering — the kind of infrastructure that vanishes once an emergency order is issued.
When the power grid became uncertain, we began calling every venue in the region. Only one could accommodate us, and it required an immediate redesign and a full-scale logistical pivot. Within hours, we reimagined the layout, revised the floor plans, and moved our teams into place.
The new venue offered protection from the weather and a chance to honor the couple’s dates without postponing again. It wasn’t the wedding we initially designed, but it became something even more meaningful: proof of what can happen when creativity and perseverance meet adversity.
